eVision consultants typically perform work at client locations which are
geographically dispersed and rarely work out of the home office. Depending on the size of an engagement, one or
more consultants are organized into project teams that collaborate and work with the client to achieve project
objectives. Typically a consultant will be engaged in two to four engagements at a given point in time. Due
to the mobility of the consultants and the diversity of project work, eVision requires a mechanism where
their consultants can easily update, review, and collaborate on project files in real time.
Mangosoft’s Mangomind Internet File Sharing Service allows eVision to create
a virtual office where consultants can easily collaborate on projects regardless of their physical location.
Consultants can easily update project files and make them available to all project team members immediately.
The virtual office is secure, accessible from anywhere, and eliminates the necessity to install a Virtual
Private Network (VPN).
At eVision Technologies, project leaders typically manage multiple ongoing
consulting projects that are being performed by consultants at client sites on a daily basis. eVision consultants
are specialists and typically contribute to many projects at different stages. As a result, it is critical that
the consultants are aware of the project progress and current status and able to deliver updates to other team
members at any given time. Prior to installing Mangomind, eVision typically used email as the primary mechanism
for communication.
"As the number of our projects grew we found that email quickly became an
inefficient way to share information on project status," said Michael Leary, President and Chief Executive
Officer. "Often times several versions of a document would be circulating between project team members and
it became difficult and time-consuming to reconcile the document edits. Mangomind provides us with a central
location where everyone can access the most recent version of the file. We can even set up a conference call
and work on the file simultaneously in real time."
eVision’s Mangomind drive has folders for each project, containing project
status reports, schedules, deliverables, proposals, and document drafts, where authorized consultants can
access project information. Company managers have set up restricted access folders for confidential files
such as financial statements, business plans and business strategies. eVision also uses the drive to post
human resource information such as W2 forms, tax documents, expense reports and other company policies and
procedures that everyone can access. eVision plans to expand use of the Mangomind drive to enable secure
file sharing and collaboration between their consultants and clients.
"Mangomind installed easily without a hitch on each one of our
consultants’ laptops and we were able to gain the advantages of the service immediately," said Leary. "Because
Mangomind is integrated into Windows, we didn’t require any special training, and our consultants can even
work on files when they are not connected to the Internet, making them more productive when they are offsite.
Mangomind eliminated the necessity to set-up and maintain a complex and costly VPN."
